Contract Operations Specialist

Tasks
Contract Lifecycle & Drafting
Support the full contract lifecycle from deal closure through post-signature administration and operational handover.
Prepare, review, and finalise customer contracts, amendments, and side letters using approved templates and clause libraries.
Draft bespoke contractual documents where required, based on defined legal and commercial principles.
Coordinate internal approvals and the contract signature process with customers.
Contract Administration & Compliance
Maintain complete and accurate contract records, including storage, scanning, version control, and archiving.
Track contract milestones, amendments, renewals, and lifecycle events.
Monitor contractual obligations and support contract compliance throughout the contract term.
Act as a point of reference for internal stakeholders on contractual content and interpretation.
Commercial & Operational Support
Provide contract-related operational support to Sales, including legal and compliance input for RFIs and RFPs.
Draft standard side letters based on approved templates and proposal structures.
Support Finance and Operations with contractual interpretation, invoicing questions, and enforcement of customer obligations.
Coordinate formal contract handovers and track completion of all downstream administrative steps.
Systems, Data & Invoicing
Create customer codes and maintain accurate customer and contract data across systems.
Enter contractual and commercial data into invoicing and financial systems with a high level of accuracy.
Support invoicing alignment between contracts and billing systems.
Manage customer portal access rights where applicable.
Process & Documentation
Contribute to the documentation, standardization, and improvement of contract-related processes and SOPs.
Identify operational risks or inefficiencies in contract handling and propose pragmatic improvements.
Profile & Requirements
Solid professional experience in contract operations, contract administration, or a comparable commercial/legal support role, enabling independent ownership of contract-related tasks.
Demonstrated experience with template-based agreements, amendments, and side letters; ability to draft bespoke agreements is advantageous.
Exceptional command of written English, with outstanding grammatical accuracy, stylistic consistency, and sensitivity to legal and commercial language. Other languages are desired (e.g. German, French etc.)
Proven ability to draft, review, and interpret contractual wording with precision and consistency.
Naturally meticulous, detail-oriented, and reliable when handling contractual documentation and data.
Open, teachable mindset with the ability to adopt and apply defined standards and ways of working.
Strong organisational skills and comfort working cross-functionally with Sales, Finance, and Operations.
Experience with contract repositories, invoicing procedures, and CRM or ERP tools.
Experience in the aviation industry is an advantage; additional languages are an asset.
